Closing Out the Year – Tips for Executive Support & Admin Professionals

There’s something magical about this time of year – a blend of exhaustion, pride, last-minute chaos and the quiet anticipation of a clean slate. For executive support and admin professionals, December isn’t just about wrapping gifts… it’s about wrapping everything.

Before you step into your well-deserved break, here are my tried-and-true tips to help you close out the year with clarity, and set yourself up to hit the ground running in the new one.

Do a Final Sweep of Loose Ends

Before you log off for the holidays, scan your workload for anything lurking in the background:

  • Unanswered emails
  • Pending sign-offs
  • Incomplete tasks
  • Event contracts or supplier agreements needing confirmation
  • Executive preferences or travel details that still need tidying up

Tie those items into tidy little bows. Anything you can finish now saves you stress later –  and your January self will thank you.

Solidify Your 2026 Priorities Early

Before the break:

  • Confirm your executive’s key dates
  • Block out major events, conferences and board meetings
  • Secure early travel requests
  • Flag any big deliverables or initiatives coming up

Having a high-level roadmap means you’re not starting blind in January. Even a simple outline creates clarity and reduces overwhelm.

Update Your Systems: Digital Declutter Time

I’m a big believer in starting the year with breathing room, not digital clutter.
Take a moment to:

  • Archive the noise
  • Clean out old folders
  • File documents where they actually belong
  • Close out outdated task lists
  • Rename files so they’re easy to search

A tidy inbox or desktop isn’t just aesthetic, it genuinely improves how you think and perform.

Leave Your Executive Set Up for Success

A strong admin or EA doesn’t just look after themselves, they prepare their executive too.
Create a simple “January landing pad” for your exec that might include:

  • A summary of outstanding actions
  • Their first two weeks of meetings
  • Notes on priorities, deadlines or travel
  • Anything significant they need to re-remember

This is the kind of proactive partnership that sets you apart.

Complete Your PD Snapshot Before Year-End

Reflection is a powerful tool, and admins rarely stop long enough to do it.
Before you finish the year:

  • Write down your wins
  • Note the challenges you overcame
  • Capture your PD (professional development) activities
  • Identify the skills you want to grow next year

This snapshot becomes your north star for career conversations in 2026.

Lock In Professional Development Early

Don’t wait until your budget disappears or gets reallocated.
Use December to:

  • Request approval for the 2026 Admin Avenues conferences, and an Australian Institute of Office Professionals (AIOP) membership
  • Flag courses or certifications you’re interested in to up-skill
  • Secure early travel or accommodation if needed
  • Lock in any events your executive or team expects from you

Admins who plan ahead win ahead.

Set Boundaries for Your Break (and Actually Take It)

This profession is notorious for burnout.
When you’re off:

  • You are OFF.
  • Communicate boundaries with kindness and confidence.
  • Set a proper out-of-office message.
  • Leave the laptop in a drawer.

Rest is strategic. It’s not a luxury – it’s a necessity!

Start 2026 With Intention, Not Panic

Walk into the new year with:

  • A clean desk
  • A clear calendar
  • A refreshed brain
  • A sense of direction

This isn’t just about closing out a year, it’s about elevating your impact as a strategic partner.

You’ve Done More Than You Think

Admin and executive support professionals carry an enormous mental load, often invisible, often unrecognised. If you’re reading this, know this:

  • You’ve kept people moving.
  • You’ve held the details together.
  • You’ve made the impossible look effortless.

That deserves acknowledgement – and rest.

So close out your year with pride, recharge, and get ready to step into 2026 with purpose.
