Position Summary
This position forms part of an administration pool that provides support across the teams and to the National office as needed. The role will support one or more Executive’s and their team/s as needed either temporarily or permanently. This position will support the end-to-end planning of meetings, engagement with external and internal stakeholders, financial administration, travel bookings, and selected projects as they arise. The role will include:

Area 1 General Manager Support:  

• GM/Executive diary management and meeting coordination
• Internal and external stakeholder engagement as required
• Collating agenda items and taking minutes for meetings chaired by the GM
• Book flights, coordinate transportation, and accommodation for the GMs, their staff and coordinate visits to group offices.

Area 2 Events/Meetings/Conferences 

• Support the GMs and staff with event planning for events as they arise
• Assist in the organisation of events, meetings and conferences for staff and external clients as required
• Organise gifts, flowers, and vouchers as required.

Area 3 Finance 

• Manage credit card expense and coding
• Support the National Receptionist in completing credit card reconciliations for Executives as required
• Code invoices appropriately and process for payment as required.

Area 4 Administration  

• Take minutes at meetings as required
• Deal with ad-hoc internal staff queries using initiative
• Any other projects/tasks as they arise with direction from the EA.

Area 5 Reception and EA Support  

• Cover the National Receptionist during lunch breaks and periods of leave. Duties will include answering the phone, meeting, and greeting guests, and distribution of deliveries
• Provide support in an array of tasks as required across the GM group
• Support the GMs group as directed by the EA to the CEO.

Experience/Knowledge/Skills  

• 2 – 3 years proven experience in a similar position
• Solid knowledge of general administrative & reception tasks (essential)
• Able to project manage and take ownership of event planning and logistics (essential).
• Proven track record in delivering superior administration support
• Excellent organisation, time management and problem-solving skills
• Ability to prioritise multiple tasks and manage time effectively
• Ability to handle extremely confidential information with a high level of discretion
• Experienced in using Microsoft Office suite
• Experienced in using Salesforce or other database management tools

• Excellent customer service, communication, and interpersonal skills.
• Solid organisational and time management skills.
• Strong attention to quality and detail.
• Flexibility & eagerness to learn with a ‘no job is too small’ mentality.

Nature of Work 
Location: Newtown, Sydney – flexible working arrangements
Job Type: Permanent, Full-time
Remuneration: $70,000 – $73,000 + Salary Packaging + Super
Hours of Work: 5 days / 37.5 hours per week

*Due to the nature of Canteen’s work, you will be required to (very) occasionally work weekends and evenings. Advance notice will be given when this is the case, and Canteen does have a Time off in Lieu policy for taking leave as agreed with the supervising manager.
