Executive Assistant – General Manager

About The Role

Werribee Mercy Hospital is a public hospital providing comprehensive care to the growing community of the West. The role of the General Manager is to oversee and be accountable for the day-to-day management of the facility. In addition to leading the supportive and dedicated team, key performance measures also include clinical outcomes, customer experience, financial performance and redevelopment of the site.

The Executive Assistant will be responsible for providing a full range of confidential administrative and support including

The Executive Assistant to the General Manager (GM) is a pivotal role in supporting the General Manager to ensure smooth day-to-day operations.

• The coordination and scheduling of calendar management, as well as the management of content and the flow of information to senior executives.
• A critical point of contact for key stakeholders including executives, employees and external partners.
• Interact with other EA’s to partner on organisational projects and communication strategies.
• Organise, execute and assist with meeting preparation including agendas, meeting papers & minute taking
• Track and help drive completion of key deliverables and follow up outstanding items
• Email management and communicating on behalf of the General Manager as required
• Drafting and preparation of written correspondence

About You

• Previous experience as an Executive Assistant / Personal Assistant
• Demonstrated experience working with senior executives and working in a complex environment involving multiple stakeholders
• Can maintain professionalism and strict confidentiality with all materials and exercise discretion when interfacing with business.
• Outstanding administration, time management and organisational skills with the ability to multi-task and a can-do positive attitude
• High level of proficiency in Microsoft Office with aptitude to learning new software systems.
• Self-starter with the ability to work with minimal supervision and direction
• Excellent interpersonal and communication skills on all levels, including written and verbal
• Experience in a health care setting is desirable
